Clerk  Gloria R. Hayward, Sumter County Clerk of  Court, is pleased to   announce several  important updates to public services, including the successful   launch of a new e-recording system, a free property fraud alert program, and   enhanced cybersecurity measures to protect public records.

E-Recording System Now Live

In June, the Clerk’s office launched an upgraded e-recording system in partnership with CSC, which allows banks, title companies, legal offices, and contractors to submit documents electronically. These records are then merged with paper filings as part of daily operations, improving efficiency and reducing processing times

Free Property Fraud Alerts for Citizens

The Clerk’s office also offers a free property fraud alert service to help prevent fraudulent activity. More than 18,000 residents have already registered to receive notifications if suspicious activity is detected on their property records. The service is easy to join and available on the Clerk’s website

Strengthened Cybersecurity Measures

To safeguard public records, the Clerk’s office has implemented robust cybersecurity measures, funded through the Clerk FL Cybersecurity Grant. These include:
  • -- ProofPoint Protect for email security and fraud prevention
  • -- Armis Advanced Network Detection to monitor unauthorized devices
  • -- CrowdStrike EDR Complete for 24/7 malware detection
  • -- Enhanced disaster recovery systems with encrypted backups
These upgrades ensure the safety and integrity of Sumter County’s public records

Digitizing Historical Records

The Clerk’s office is also digitizing historical court records dating back to 1990, as well as record books dating to 1853, making these documents more accessible and preserving the county’s rich history for future generations
