New Public Search System

We have launched a new inquiry portal for access to the Official Records of Sumter County.  The new interface will be more user friendly and streamlined for faster access.  During this process we have also undertaken the project of reprocessing all of the records available online through new and updated security rules looking for information that might be used in Identity Theft

( PII = Personal Identification Information)

Items like

  • Social Security Numbers

  • Bank Account Number

  • Bank Routing Numbers

And other PII traits will be redacted before they are provided online

New documents will be automatically processed through this new system and provided online once they have been certified by our staff for accuracy

Records prior to Apr 1, 2024 are being evaluated and may not be available online until they have been cleared through this new process.  If you click on the “Image View” option for a record and it displays

‘ Image unavailable for viewing. ‘

This will indicate that it is still in the queue to be re-processed.

Given the large number of documents, this project may take several months to complete

If you require immediate assistance with obtaining copies of older documents, please contact our Official Records Division at 352-569-6600 and a Deputy Clerk will be able to assist you with available options we have available

Helpful Search Tips

** What format do I use when searching by Name?

There is no standard format for names indexed on the official records.  They can be a combination of any of those order formats.  Typically Sumter County has always indexed their names using the following format:

LastName FirstName Middle

There are no commas between each portion of an indexed name and punctuation is kept to a minimum using the standard indexing rules for the State of Florida drafted in 2002

Additional Name Search functions using wildcards is provided on the interface home page

** Why are there 2 sets of Instrument Types // Codes ??

This was done to provide support for Clerks compliance with SB1616. Standard document types are more of a category where the instrument type is very specific.  Someone doing title research might want to look at all standard JUDGMENTS but someone specifically looking for judgements regarding protective injunctions might be able to narrow that down by instrument type ( these can be tailored for use by each individual Clerk's Office )
